Appearance
Users
The Users area (titled People (Member 360) in the admin) is where you look up a person and manage their account. Search a name or email and one page shows everything about them: membership, classes, events and clubs, payments, and family. Admin and Super Admin can view profiles, billing, membership, enrollments, and registrations; edit name and email; trigger password reset; and link or unlink family members. Only Super Admin can change staff roles (Admin, Instructor, Super Admin) and delete accounts, if those actions are enabled. Used by: Admin and Super Admin.
Routes: https://admin.uibeta.org/admin/users (list) and https://admin.uibeta.org/admin/users/[id] (user detail). The sidebar has two links to the same page: Memberships → Find a Person (Member 360) and Access → People (Member 360). Roles & Permissions is under Access at https://admin.uibeta.org/admin/settings/roles.
Searching and filtering users
- Click Find a Person (Member 360) or People (Member 360) in the sidebar (or go to https://admin.uibeta.org/admin/users).
- Type part of a name or email into the Search by name or email... box, then press Enter or click Search.
- Narrow the list with the filters: membership status (Active, Due Soon, Overdue, Expired), membership level, and All Roles (Account Owners or Family Members).
- Click a row or the user’s name to open that person’s detail page.
What the user detail page shows
When you open a user (https://admin.uibeta.org/admin/users/[id]), you see:
- Profile — Name, email, and other account details.
- Billing — Billing-related information tied to the account (for finance or support questions).
- Membership status — Whether they have an active membership, which level, and key dates.
- Enrollments — Classes they are enrolled in (with status: enrolled, waitlisted, cancelled).
- Registrations — Events they are registered for (confirmed, waitlist, cancelled, attended).
- Staff role and permissions — Shown on the detail page; only Super Admin can change another user’s Admin, Super Admin, or Instructor access and related permissions.
Use this page to get the full picture before making changes (for example before editing their email or linking a family member).
Member 360: everything a person has bought
The user detail page is built to answer “what does this person have with us?” in one place, for example when a member calls with a billing question. From top to bottom:
- Membership — current level, status, Start Date, Renewal Date, and family slots (purchased, used, available). View Details opens the membership record; Edit Membership opens its edit form. Records carried over from the old WordPress site show a LEGACY tag.
- Membership History — appears only when the person has more than one membership record. Click Show to list every one with its level, status, dates, and source. Click any row to open it.
- Family Member Of — shown when this person is a family member on someone else’s account. It names the Primary Account holder (click to open them) and the relationship. Payments for a family member are billed to the primary account, so open that account to see what was paid.
- Family Members — the people linked to this account (see below).
- Class Enrollments — every class, with its status and enrollment date. Under each class name is the section line (instructor, days, and semester) so you can tell which section they are in. A cancelled enrollment also shows when it was cancelled, by whom, and the reason, or “no reason recorded.”
- Event & Club Registrations — events and conversation clubs, with status, location, and the session date. Long lists show the most recent ones and say how many there are in total.
- Family Members’ Activity — on an account owner, a collapsed card listing each family member’s classes and registrations, kept under that person’s name. Click Show to open it. These are billed to this account but never mixed into the owner’s own lists.
- Payments — each payment with amount, type, status, method, and the items bought. Click a payment to open it. An offline order that has not been paid yet shows an Outstanding — due tag with the due date and its reference code.
Searching for a child or spouse
If you search a family member’s name, their page shows their own classes and registrations but no payments. The Family Member Of card links to the account that paid.
Deleting a user account
Deleting a user removes their account from the system. This can affect memberships, enrollments, and history. Only use when you are sure, and follow your organization’s policy.
- Open the user’s detail page.
- Click Delete User at the top of the page.
- Read the list of what will be removed, then click Yes, Delete User. Only a Super Admin can delete another Super Admin’s account.
Editing a user’s name or email
- Open the user’s detail page.
- Click Edit User Info.
- Update the First Name, Last Name, and/or Email fields as needed.
- Click Save.
Changing a user’s email affects how they log in. They will need to use the new email the next time they sign in. If they have trouble logging in after a change, use the password-reset flow (below) and make sure they use the new email address.
Email addresses are not case-sensitive. Jane.Doe@Example.com and jane.doe@example.com count as the same address, and emails are saved in lowercase. You cannot give someone an email that another account already uses, even with different capital letters. Members can type their email with any mix of capitals when they sign in or check out.
Triggering a password reset for a user
If a user is locked out or forgot their password, you can trigger a password-reset email for them:
- Open the user’s detail page.
- Click Send Password Reset.
- Click it. The system sends a password-reset link to the user’s current email address.
- Tell the user to check their inbox (and spam folder) and to use the link to set a new password. They must use the email address that is currently on their account.
Granting or revoking instructor access (Super Admin)
Changing who is an Instructor or Admin is limited to Super Admin on the user detail page.
- Sign in as Super Admin and open the user’s detail page.
- Find the Role, Staff role, or Permissions section (sometimes labeled Edit for staff fields).
- To grant instructor access: set them as Instructor (or add the instructor permission your site uses), then save.
- To revoke instructor access: remove the instructor role or set them back to a member-only role, then save.
After you save, an instructor sees assigned classes on https://admin.uibeta.org/instructor. Granting instructor does not automatically assign them to any class; you assign instructors from the Classes area.
Linking or unlinking family members
From the user’s detail page you can link or unlink family members (for example a spouse or child on the same membership).
To link a family member:
- On the user’s detail page, find the Family or Family members section.
- Click Add family member or Link family member (or similar).
- Search for or select the other person’s account. Confirm the link.
- Save. The two accounts are now linked for family membership purposes. The linked family member is automatically sent a welcome/verify email with a link to claim their portal account, so they can sign in and use member benefits.
To unlink a family member:
- In the Family section, find the linked person.
- Click Remove or Unlink (or similar) next to that person.
- Confirm. The link is removed; the other person’s account remains, but they are no longer a family member on this account.
