Reports

The Reports section covers financial summaries and an audit trail of admin activity. Used by: Admin and Super Admin.

Sidebar: Reports & Sync → Revenue / Refunds / Activity Log.

Revenue Report

Route: https://admin.uibeta.org/admin/reports/revenue

The Revenue Report shows income for a period, broken down by month, by product type, and by how the money was taken, with a walk-through that ties the figures to your Stripe statement.

Choosing a date range

Four preset buttons let you jump to common ranges without entering dates:

PresetWhat it covers
This monthFirst of the current month through today
Last monthFull prior calendar month
Year to dateJanuary 1 of the current year through today
CustomEnter a Date From and Date To

Months run on Eastern time. A payment belongs to the month it was paid (or the month it was created, for older records with no paid date), which is the same rule the payments CSV export uses.

What the columns mean

Every table on the report uses the same five money columns:

ColumnMeaning
Gross ChargedWhat members were actually charged — card payments and checks and cash.
Processing FeesThe fee members paid on top of the price. This is money coming in, not what Stripe deducted.
Product RevenueGross Charged minus Processing Fees.
Refunds IssuedRefunds, counted in the month they were issued — so a refund in March of a January payment lowers March, and a closed month stays closed.
Product Revenue after RefundsProduct Revenue minus Refunds Issued.

Cash or check payments that were reversed because the money was never collected are left out entirely.

What the report shows

  • Monthly breakdown — a Total row for the whole period, then one row per month.
  • By product type — the same columns split by Membership, Class, Event, Family Add-on, Conversation Club, and so on. Cart (unitemized) covers older checkouts where the individual items were not recorded.
  • How the money was taken — the same columns split by Card (Stripe), Check, and Cash. Check and cash rows are tagged not in Stripe: they are included in Gross Charged but will never appear on a Stripe statement.
  • Reconciling to your Stripe statement — see below.
  • Memberships — how each one was funded — for each membership level: revenue, average paid rate, and how many memberships were Paid, Family (included), Imported, or Complimentary. Paid memberships are counted in the month their payment settled; the others in the month the membership was created. An Avg Paid Rate below the list price means a coupon or subsidy was used, not a miscount.
  • Refunds issued in this period — the individual refunds behind the Refunds Issued column, including refunds of payments taken in an earlier month.

Reconciling to your Stripe statement

Gross Charged will not equal a Stripe statement, and this section explains why. It pulls the figures for the same dates live from Stripe and walks from the Stripe total to the report:

  1. Stripe statement gross (and the number of charges)
  2. less payments taken outside UI Engine (the legacy WordPress donate form)
  3. plus checks and cash, which never touch Stripe
  4. = Gross Charged on this report
  5. less the fee members paid on top
  6. = Product Revenue

Two smaller tables follow:

  • What card fees actually cost — Stripe's actual cut, less what members covered through the processing fee, equals what card fees cost Upstate International. These are not the same fee counted twice: members added money on top, and Stripe took money out.
  • Cash actually received — Stripe net (gross minus fees minus refunds) plus checks and cash.

If any Stripe transactions in the period were neither a charge nor a refund (disputes or adjustments), a note lists how many and their total; they are not part of the walk. If Stripe can't be reached, the section says so — take the Stripe lines from your Stripe export instead. The rest of the report is unaffected.

Exporting to CSV

Export buttons appear at the top of the report, and all of them use the current date range:

  • Monthly CSV — one row per month with the five money columns; good for a finance summary or spreadsheet chart.
  • Detail CSV — one row per item sold. Columns include the member, product, quantity, list price, discount, amount charged for the line, processing fee, refunded amount, gateway, Payment ID, and a Notes column carrying whatever staff recorded on the order (such as the reason a fee was waived, or a check number). The line amounts add up exactly to the report's Gross Charged.
  • Memberships CSV — the membership funding breakdown.
  • Refunds CSV — in the Refunds issued in this period section; the same data as the Refunds ledger below.

All report exports are saved so that accented names display correctly when opened in Excel or Numbers.

Refunds

Route: https://admin.uibeta.org/admin/reports/refunds

The Refunds page is a ledger of every issued refund. Use it to audit refund history, answer member questions, or prepare a finance report.

What it shows

Each row shows: refund date, member name, amount refunded, original payment total, the Reason chosen when the refund was issued, the Staff Actor who issued it (or "System" for refunds recorded automatically), and the Stripe refund ID (for cross-referencing in Stripe). The Reason shows a dash for refunds made directly in Stripe and for refunds issued before reasons were recorded.

Filtering by date

Enter a From and To date to narrow the list to a specific period. Leave either blank to show all refunds before or after a single date.

Exporting to CSV

Click Export CSV to download the current filtered view.

Activity Log

Route: https://admin.uibeta.org/admin/reports/activity

The Activity Log records admin actions taken in the system — who did what and when. Use it to investigate a change, confirm a staff action, or answer a question from a member.

What it shows

Each row includes:

  • Date/time — When the action was taken.
  • Staff member — Who performed the action.
  • Action — What happened (e.g. refund issued, membership cancelled, role changed).
  • Summary — A plain-English description of the action with key details (amount, reason, etc.).
  • Entity link — A clickable link to the affected payment, user, or membership record.

Click the link in a row to jump directly to the related record:

  • Payment → opens the payment detail page.
  • User → opens the user detail page.
  • Membership → opens the membership detail page.

Payload drawer

For actions where more detail is stored (such as profile changes or role updates), click the row to expand the full payload. Common actions show a formatted summary; less common ones display the raw data.
