Memberships

The Memberships area is where you view and manage membership records. You can browse and filter by status or level, open a member’s detail, extend an end date, manually create a membership (for example after an offline payment), send a renewal reminder, and review expired memberships. Used by: Admin and Super Admin.

Browsing and filtering memberships

  1. Go to Memberships in the sidebar (or https://ui-admin.fly.dev/admin/memberships).
  2. The list shows memberships with key details (member name, level, dates, status).
  3. Use the filters to narrow the list, for example:
    • Status — Active, expired, or expiring soon.
    • Level — Gateway, Crossroads, Patron, or other tier.
  4. Use Expiring soon (or a similar filter) to see memberships whose end date is coming up. Use the Expired memberships link or view to see lapsed members.

What the membership detail page shows

When you open a membership (https://ui-admin.fly.dev/admin/memberships/[id]), you see:

  • Member info — Name, email, and link to their user account.
  • Level — Membership tier (e.g. Gateway, Crossroads, Patron).
  • Start and end dates — When the membership began and when it expires.
  • Payment history — Payments tied to this membership (if shown).
  • Family members — Any linked family members on the same membership.

From here you can extend the end date, send a renewal reminder, or (from the list) open the user’s profile.


Extending a membership end date

When a member renews in person or by check and you have confirmed payment, you can extend their membership in the system:

  1. Open the membership detail page.
  2. Find the End date (or Expires). There is usually an Edit or Extend option.
  3. Change the End date to the new expiration date (e.g. one year from the previous end date).
  4. Save. The member’s access continues until the new date. LGL sync will still run so the CRM stays in sync.

Manually creating a membership

If someone pays by cash, check, or another method outside the website, you can create their membership in the Admin so their record and dates are correct.

  1. Go to Memberships and click Create membership or Add membership (or go to https://ui-admin.fly.dev/admin/memberships/create).
  2. Select or search for the user (they must already have an account).
  3. Choose the membership level (e.g. Gateway, Crossroads, Patron).
  4. Set the start date and end date.
  5. Add any notes if needed (e.g. “Paid by check #1234”).
  6. Save. The membership is created and will sync to LGL like any other membership.

Manually creating a membership bypasses Stripe. Only do this for verified offline payments (cash, check, etc.). LGL sync will still run and the member will appear in Little Green Light. If you are unsure whether to create one, check with Andrew or your finance lead.


Sending a renewal reminder to a member

To nudge a member whose membership is about to expire:

  1. Open the membership detail page.
  2. Find Send renewal reminder or Renewal reminder (or similar).
  3. Click it. The system sends a renewal reminder email to the member’s email address. Use this for members who are expiring soon; for expired members, you may use the same action if your organization uses it for lapsed-member outreach.

The expired memberships view

The Expired memberships view (https://ui-admin.fly.dev/admin/memberships/expired) lists memberships whose end date has passed. These members no longer have active access.

What to do: Use this list to see who has lapsed, follow up with renewal outreach (e.g. email or phone), or send a renewal reminder from their membership detail page if that option is available. You can also use it for reporting (e.g. how many members expired in a given period). To reactivate someone who renews offline, extend their end date from the membership detail page or create a new membership if their record was removed.
