Inventory
The Inventory page is a real-time capacity view for all products that have a limit: classes, events, and memberships (when membership tiers have a cap). It shows how many spots are filled, how many are open, whether there is a waitlist, and whether each product is available, warning (nearly full), full, or waitlist. Used by: Admin and Super Admin.

What inventory tracks
Inventory tracks classes, events, and memberships (if they have capacity limits). For each product it shows:
- Enrolled or filled — How many people are currently enrolled or registered (or how many memberships of that type are active, if capped).
- Available — How many spots are still open.
- Waitlist — How many people are on the waitlist (if the product is full and waitlist is enabled).
- Status — A simple label such as Available, Warning, Full, or Waitlist so you can scan quickly.
Use this page when you want to see capacity across many products at once instead of opening each class or event page individually.
How to read the status indicators
- Available — Plenty of room; enrollments or registrations are below capacity. No need to act unless you are planning ahead.
- Warning — Getting full (e.g. close to capacity). Good time to watch for waitlists or consider adding another section or date if your organization does that.
- Full — At capacity. New sign-ups may go to a waitlist if one is enabled; otherwise they cannot enroll or register until a spot opens or you increase capacity.
- Waitlist — The product is full and has people on the waitlist. The number shown is how many are waiting. You can go to the class or event (or Enrollments/Registrations) to see who is on the list and manage promotions if your process requires it.
When to use inventory vs the individual class or event page
- Use Inventory when you want a quick overview: which classes or events are full, which have waitlists, which have room. It is also useful for a weekly or daily capacity check across the board.
- Use the individual class or event page when you need to change something (e.g. capacity, instructor, dates), view the full list of enrolled or registered people, or manage a specific product in detail. Inventory is read-only; edits happen on the class or event detail pages (or in Enrollments / Registrations for cancelling or promoting waitlist).
What to do if something is full that shouldn’t be
If a class or event shows Full (or Waitlist) but you believe there should be more room (e.g. someone cancelled and the count did not update, or capacity was set too low):
- Open the class or event detail page from the Inventory list (or from Classes or Events).
- Check the capacity and the current enrollment or registration count. If capacity is too low, edit the class or event and increase the Capacity value, then save.
- If the count looks wrong (e.g. cancelled enrollments still counting), check the Enrollments or Registrations list for that product and confirm statuses (e.g. cancelled enrollments should not count). If numbers still do not match, contact Andrew so the data can be corrected.
- If you need to free a spot (e.g. cancel an enrollment to allow someone else in), do that from Enrollments or Registrations; the Inventory page will update to reflect the change once the cancellation is saved.
