Instructors
The Instructors page is a directory of everyone with the instructor role: who they are, which classes and semesters they teach, and whether they are teaching this semester. It is the staff-side companion to the separate Instructor area that instructors themselves log into.
Used by: Admin and Super Admin.
What this page shows
Go to https://admin.uibeta.org/admin/instructors. You get a list of instructors plus quick totals:
- Total Instructors
- Active This Semester — instructors assigned to at least one class in a semester currently marked active.
- Total Class Assignments — becomes Class Assignments (selected semester) when you pick a semester.
Each row shows the instructor's Name, Email, Phone, Classes count, Semesters, and Status (Active or Inactive).
Finding instructors
- Search by name or email.
- Semester — show only instructors who taught in that semester. The Classes count and the Semesters column then count that semester only. With All semesters, the Classes count is every class the instructor has ever been assigned to.
- Status — All instructors, Active (teaching this semester), or Inactive. "Active" always means teaching in a currently active semester, whichever semester you are browsing.
- Sort by clicking the Name, Email, or Classes column header. Click again to reverse the order.
Seeing an instructor's classes
Click the Classes count (or the Classes link in the Actions column) to expand a list of that instructor's classes under their row. Each class shows its semester, a Primary tag if they are the lead instructor, an Inactive class tag if the class is turned off, and its start and end dates. Click a class name to open it. Click Hide classes to collapse the list. Profile opens the instructor's user account.
Exporting the list
Click Export CSV to download the instructors matching your current search and filters. The file includes first and last name, email, phone, roles, status, number of assigned classes, semesters, class names, and the date the account was added. It always covers the full filtered set, even when the page shows only some rows. (Student contact details export from the Enrollments page instead.)
Adding an instructor
- Click Add Instructor.
- Enter the Email (required), and optionally First Name, Last Name, and Phone.
- Click Create Instructor.
This creates a new user account with instructor access. If the email already belongs to someone, that existing account is promoted to instructor instead of creating a duplicate.
Revoking the instructor role
Click Revoke on the instructor's row and confirm. Their past class assignments are kept on record.
If the instructor is still assigned to classes in an active semester, a second warning lists those classes and asks you to confirm. If you go ahead, those classes are left without this instructor — reassign them afterwards from each class's editor.
Assigning an instructor to a class
You do not add class assignments from this page. Assign instructors from the class (product) editor:
- Open the class under https://admin.uibeta.org/admin/classes and edit it.
- Add the instructor (primary or co-instructor) in the class's instructor section.
- Save.
A class can have more than one instructor. See Classes and semesters for the full class-editing workflow.
To give an existing user the instructor role, or link a teacher's account, use Users.
The automatic teacher membership
Assigning an instructor to a class matters for more than the roster. When a class reaches its minimum enrollment, the system automatically grants a complimentary Gateway membership (one year) to each assigned instructor who does not already have an active membership.
- No code, nothing at checkout — it happens on its own.
- It is checked whenever a class gains a student — whether the member signs up in the portal or staff add them with Add Enrollment — and whenever an instructor is assigned to a class. So assigning a teacher to a class that is already at its minimum grants the membership right away.
- A nightly check also looks at every class that has reached its minimum and grants any instructor who was missed. For example, if a teacher's own membership was still in its grace period when the class filled up, their complimentary year starts once that grace period ends.
- Instructors who already have an active membership are skipped, not upgraded or extended.
- If the class never reaches its minimum, no membership is granted.
When a grant happens, an alert email goes to staff who have class notifications turned on (Admin → Settings → notification preferences). This is a different benefit from the teacher free class, which still uses a coupon — see Coupons.
